A delayed flight is not one problem, it is nine. Every meeting behind it has to move, and each move needs a message to someone who is not thinking about you. Doing it from an airport, on a phone, is how things get missed.

Give it the new constraint, not the instructions

The instinct is to explain what to do. The faster path is to state what changed and let it work out the consequences.

My flight is delayed. I am now landing at 4pm Denver time instead of 11am,
and I will not be usable until 5pm.

Look at today's calendar and tell me, before you change anything:
  what I will miss
  what can move to later today
  what has to move to another day
  anything I should hand to someone else rather than move

Do not send anything or change anything yet.

Getting the plan before the action is the whole discipline here. Rescheduling is a write on other people's calendars, and a wrong one is worse than the delay.

Then let it do the moving

Prompt
Do that plan. For each moved meeting, send a short note saying my flight
was delayed, offering the new time, and apologising once rather than in
every sentence.

For the two you said to hand over, draft a note to the colleague instead,
with what they need to know.

Do not move anything belonging to a customer without telling me first.

The exception for customer meetings is worth keeping permanently. Moving an internal standing meeting is administration. Moving a customer's meeting is a relationship event, and it should cost you a deliberate decision even when you are tired in an airport. That is exactly when you most want the guardrail.

Say sorry once

The small instruction about apologising is not a style note. Nine messages each apologising three times reads as a person coming apart, and the recipients are mostly indifferent to a delay that is not their problem.

One line, the new time, done.

What good looks like

You send one sentence from the gate and the day rearranges itself, with the customer meetings held back for you to decide on.

The thing to watch is over-eagerness: an employee that helpfully cancels rather than moves. If you see that, it is because the plan step was skipped, and the plan step is the entire safety of this playbook.
